The Girls on the Run® Program Administrator plays an important role in supporting the delivery of our programs for girls in 3rd through 8th grade. Girls on the Run provides a safe, engaging environment where girls learn about healthy living, build confidence, and develop important life skills such as goal setting, cooperation, healthy decision-making, and self-respect. Through our evidence-based curriculum and physical activity, girls are encouraged to recognize their strengths and build a lifelong foundation for health and confidence.
Girls on the Run of Greater Cincinnati is a 501(c)(3) nonprofit organization that currently serves 13 counties across Ohio, Kentucky, and Indiana.
Girls on the Run believes all girls and communities should have access to our programs. We strive to remove barriers to participation, expand programming that reaches diverse communities, and foster a culture of inclusion among our staff and volunteers.
The Program Administrator is a part-time position that reports to the Program Director. This role provides administrative support for all Girls on the Run programs and also assists the Executive Director with administrative tasks as needed.
KEY RESPONSIBILITIES
Responsibilities include, but are not limited to:
Managing new site and coach applications each season in the Pinwheel database
Assisting with maintaining accurate site and coach profiles in Pinwheel
Supporting communication with coaches regarding New Coach Training (NCT)
Monitoring NCT training reports and updating the Program Director prior to in-person sessions
Communicating with coaches as requested by the Program Director
Assisting with the seasonal shoe program
Updating and distributing family newsletters
Supporting scheduling and communication for mid-season coach meetings
Managing Unstoppable Us email campaigns to families
Organizing the Coach Anniversary Program
Assisting with updates to program information on the Girls on the Run website
Various bulk and individual mailings through Stamps.com, USPS, UPS, etc.
Assisting with preparation of board meeting materials (formatting agendas, compiling reports)
Support donor and community engagement efforts through data entry, acknowledgment letters, and basic reporting
Supporting administrative pieces of fundraising events (guest lists, nametags, mailings)
Provide general administrative support to the Executive Director and leadership team as needed to advance organizational priorities
KNOWLEDGE & SKILLS
Qualified candidates will demonstrate:
Strong project management, communication (written and verbal), and collaboration skills
Excellent organizational skills with strong attention to detail and the ability to prioritize tasks
Comfort asking questions and problem-solving with thoughtful recommendations
Administrative experience and expertise with Excel and Outlook
Ability to work both independently and collaboratively
Flexibility to work remotely with occasional in-office collaboration

POSITION DETAILS
Part-time: 5 hours per week
Compensation: $16–$18 per hour
Location: Primarily remote, with in-office time required once or twice per program season
Schedule: Flexible scheduling within the guidance of the Program Director
Additional Availability: Occasional evening and weekend hours may be required during peak seasons (January, March, August, and October) to support coaching, volunteer, and fundraising events.
